Where a business or organizational customer uses UsePDF to process personal information contained in documents under that customer's instructions, the customer may act as the data controller and UsePDF may act as a data processor or service provider on its behalf.
3. Personal Information We Collect
3.1 Account and Profile Information
When you register for or manage a UsePDF account, we may collect your name, email address, authentication credentials, profile image (if provided), language and regional preferences, account settings, subscription or plan information, organization or team membership, user roles and permissions, account creation/login/activity dates, and authentication and account-security information. Authentication credentials are stored using appropriate security protections. We do not intentionally store account passwords in readable form.
3.2 Social Login Information
When you register or sign in through a third-party authentication provider, such as Facebook or Google, we may receive information that you authorize that provider to share with us, which may include your name, email address, profile picture, a unique authentication identifier and other basic profile information authorized by you. We use this information to authenticate you, create or connect your UsePDF account, allow you to sign in, maintain account security, prevent unauthorized access, and provide the requested Online Services. We do not receive or store your Facebook, Google or other social-platform password. Information obtained through a social-login provider is subject to the same access, correction and deletion rights as all other personal information processed by UsePDF.
3.3 Documents and Files
When you upload, create, edit, convert, merge, split, compress, rotate, sign, protect, unlock, translate or otherwise process a document, we may process the uploaded document or file, the file name, type, format and size, document metadata, instructions selected by the user, generated/edited/converted versions of the document, technical information necessary to perform the requested operation, document-sharing settings, and recipient information when you choose to send or share a document. Documents may contain personal, confidential, commercially sensitive or special-category information selected and uploaded by the user. UsePDF does not require users to include sensitive personal information in their documents unless necessary for the user's intended purpose. Users are responsible for ensuring that they have the necessary rights, permissions and lawful basis to upload, process, edit, store or share documents containing information about other people. UsePDF does not use the contents of uploaded documents to personalize advertising.
3.4 Payment and Subscription Information
Payments for UsePDF subscriptions, trials and other paid services are processed through an authorized payment service provider, currently HiPay, and other financial institutions involved in completing the transaction. UsePDF does not intentionally collect or store complete payment card numbers or card security codes. We may receive and retain limited payment and transaction information, including payer name, billing address or country, payment status, transaction amount/currency/date, payment-provider transaction identifier, subscription status and renewal date, card brand, partial card information (such as the last four digits, where provided), payment tokens or recurring-payment identifiers, invoice information, refund information, payment-dispute or chargeback information, and fraud-prevention and payment-risk information. Payment service providers process payment information according to their own privacy policies, security standards and legal obligations.
3.5 Organization and Team Information
If you access UsePDF through an organization, company or team account, we may collect the organization name, team member names and email addresses, user roles and permissions, membership and invitation status, administrative actions, organization subscription and billing information, and documents, folders or resources shared within the organization. Authorized organization administrators may be able to add or remove users, assign roles and permissions, manage organization settings, access certain account information, and manage documents or resources according to the permissions provided by the Online Services. The organization is responsible for informing its users about any processing performed under the organization's own authority.
3.6 Communications and Customer Support
When you contact UsePDF, submit a request, respond to a survey or communicate with customer support, we may collect your name and email address, the content of your communication, information about your account or a payment/transaction, screenshots or files voluntarily provided by you, technical information needed to investigate the issue, and records of our communications and responses. Users should avoid including unnecessary sensitive or confidential information in customer-support messages.
3.7 Technical and Usage Information
When you access or use the Online Services, we may automatically collect your IP address, approximate location derived from the IP address, browser type and version, device type, operating system, language and time-zone settings, internet service provider, referring and exit pages, pages/tools/features accessed, buttons or links selected, date/time/duration of visits, login and authentication events, error reports, performance and diagnostic information, security events, interaction and navigation information, and advertising and campaign attribution information. This information helps us operate, protect, troubleshoot, measure and improve the Online Services.
3.8 Cookies and Similar Technologies
We and our authorized service providers may use cookies, pixels, tags, local storage, advertising identifiers, analytics technologies and similar browser or device technologies. These technologies may collect information about your device, browser and interactions with the Online Services. Further information is provided in Section 8.
3.9 Information Received from Other Sources
We may receive personal information from authentication providers, payment service providers, organization administrators, users who invite you to a team, users who share a document with you, analytics providers, advertising and campaign-measurement providers, security and fraud-prevention providers, and public authorities where legally permitted or required.

We do not sell the contents of uploaded documents. We do not use the contents of uploaded documents to create advertising profiles.
6. Legal Bases for Processing
6.1 Performance of a Contract
We process personal information where necessary to provide the Online Services requested by you, including creating and managing an account, authenticating a user, processing a document, storing documents in a registered user's account, providing document-sharing functionality, processing subscriptions and payments, providing customer support, and managing organization and team features.
6.2 Legitimate Interests
We may process personal information where necessary for our legitimate interests or those of another party, provided those interests are not overridden by the user's rights and freedoms. These interests may include protecting the Online Services, preventing fraud and abuse, maintaining service security, understanding service performance, improving features and user experience, measuring the effectiveness of our services, maintaining business and transaction records, communicating with existing users, and protecting and enforcing our legal rights.
6.3 Consent
We rely on consent where required, including for certain analytics cookies, advertising and campaign-measurement technologies, certain promotional communications, and any other processing that applicable law specifically requires to be consent-based. You may withdraw consent at any time. Withdrawal of consent does not affect the lawfulness of processing performed before consent was withdrawn.
6.4 Legal Obligations
We may process or retain information where necessary to comply with tax and accounting requirements, payment and financial regulations, consumer-protection rules, data-protection obligations, court orders, regulatory requirements, lawful governmental requests, and other applicable legal obligations.
6.5 Legal Claims and Protection
We may process information where necessary to establish, exercise or defend legal claims, investigate misconduct, prevent fraud, protect users, protect the security of the Online Services, and protect the rights or property of UsePDF or another person.
7. Document Processing, Storage and Deletion
7.1 Documents Uploaded by Non-Registered Users
Documents uploaded by users who are not signed into a registered UsePDF account are stored temporarily for the sole purpose of providing the requested document-processing service. Uploaded documents and generated output files belonging to non-registered users are automatically deleted from active systems 24 hours after upload. No account is required for this automatic deletion to take place. A non-registered user may request earlier deletion by contacting [email protected], providing the approximate upload date and time, the file name, the UsePDF tool that was used, and any available processing or document identifier. Because non-registered document processing may not be linked to an identifiable account, we may be unable to locate a specific document without sufficient information. Regardless of whether an earlier request can be matched to a particular file, the document remains subject to the automatic 24-hour deletion period.
7.2 Documents Stored in Registered Accounts
Documents uploaded or saved while a user is signed into a registered UsePDF account may be stored in the user's account, allowing users to access, download, continue editing, organize, favorite and share documents, and use other account-based functionality. Documents stored in registered accounts are protected through encrypted cloud storage, access controls and other appropriate security measures. Registered-user documents generally remain stored until the user deletes the document, an authorized organization administrator deletes the document, the user requests account deletion, the account is closed or terminated, or continued storage is no longer necessary or legally permitted. Cancelling a paid subscription does not necessarily delete the user's account or stored documents. To delete stored documents, the user must delete them through the available account functionality or request account and data deletion.
7.3 Deleted Documents and Backups
When a user deletes a document or account, the relevant information is removed from ordinary active use. Deleted information may remain for a limited period in secure backup systems, disaster-recovery systems, security records, and systems awaiting scheduled deletion or overwriting. Backup copies are restricted from ordinary use and are retained only for purposes such as security, service continuity, disaster recovery and legal compliance. They are deleted or overwritten in accordance with the applicable backup-retention cycle.
7.4 Access to Document Contents
UsePDF primarily uses automated systems to process documents according to the user's instructions. Access to document contents by authorized UsePDF personnel or contractors is restricted and may occur only where reasonably necessary to provide support requested by the user, investigate a technical issue or security incident, prevent fraud, abuse or unlawful activity, maintain or restore the Online Services, comply with a legal obligation, or respond to a valid legal request. Where reasonably possible, we will request the user's authorization before accessing a document specifically for customer-support purposes.
7.5 Shared Documents
When a user shares a document, creates a sharing link, sends a document or invites another person to access content, the document may become accessible to the selected recipients. Users are responsible for selecting the correct recipients, configuring the appropriate permissions, protecting sharing links, avoiding unauthorized disclosure, and removing or revoking access when no longer required. Once an authorized recipient downloads a document, UsePDF may no longer be able to control the recipient's independent use or further disclosure of that downloaded copy.
8. Cookies, Analytics and Advertising Technologies
8.1 Strictly Necessary Technologies
Strictly necessary technologies may be used to operate the website, maintain user sessions, authenticate users, protect accounts, prevent fraud, process payments, remember privacy choices, and provide requested functionality. These technologies are necessary for the Online Services to function and cannot always be disabled through our consent tools. Users may block them through browser settings, but doing so may prevent parts of the Online Services from functioning correctly.
8.2 Preference Technologies
Preference technologies may remember language, region, account preferences, interface preferences and previous selections.
8.3 Analytics and User-Experience Technologies
We may use Microsoft Clarity and other authorized analytics technologies to better understand how users interact with the Online Services. These technologies may collect information such as pages visited, navigation paths, clicks, scrolling, browser and device information, approximate location, session duration, and performance and error information. We use this information to improve usability, identify technical problems and understand how the Online Services are used.
8.4 Advertising and Campaign-Measurement Technologies
We may use advertising and campaign-measurement technologies provided by Google Ads and Meta. These technologies may be used to measure whether an advertisement resulted in a visit or conversion, attribute visits to advertising campaigns, measure campaign performance, limit repeated advertising, create or measure advertising audiences, and improve the relevance and effectiveness of advertising. Depending on the user's location and applicable law, these providers may process identifiers and interaction information for their own purposes under their respective privacy policies.
8.5 Consent and Cookie Controls
Where required by applicable law, analytics and advertising technologies are activated only after the user has provided the necessary consent. Users may manage or withdraw their cookie preferences through the cookie-consent controls provided on the Online Services, browser settings, device settings, or controls provided by Google, Meta, Microsoft or another relevant provider. Withdrawal of consent does not affect processing performed before the consent was withdrawn. Blocking or deleting cookies may affect certain functionality. Additional details about the specific cookies used, including their provider, purpose and duration, may be made available in a separate Cookie Policy or cookie-preferences panel.
9. Marketing Communications
Where permitted by law, we may send users information about UsePDF features, product updates, subscription offers, promotions, surveys and relevant UsePDF services. Users may unsubscribe from promotional emails by selecting the unsubscribe link included in the email, updating available communication preferences, or contacting [email protected].
Even after opting out of marketing communications, users may continue to receive necessary service-related communications, including account-security messages, payment and subscription notices, password resets, customer-support responses, important product or service notices, and changes to legal terms.
10. How We Disclose Personal Information
10.1 Service Providers
We may use authorized service providers to help us operate and secure the Online Services, supporting functions such as application and website hosting, cloud storage, database infrastructure, content delivery, document processing, authentication, payment processing, email delivery, customer support, analytics, advertising measurement, error monitoring, fraud prevention, cybersecurity, and professional legal, accounting or auditing services. Service providers may process personal information only to the extent necessary to provide their services, subject to applicable contractual, professional and legal obligations. For security reasons, this Privacy Policy does not disclose detailed infrastructure configurations, internal system architecture or security-sensitive technical information.
10.2 Payment Providers
Payment and billing information may be disclosed to HiPay, acquiring banks, card networks, fraud-prevention providers, financial institutions, and other parties necessary to complete, refund or dispute a transaction.
10.3 Authentication Providers
When a user chooses Facebook Login, Google Login or another external authentication method, information may be exchanged with the selected provider to complete and secure the authentication process. The provider's independent processing is governed by its own privacy policy.
10.4 Analytics and Advertising Providers
Subject to applicable consent requirements and user preferences, information may be processed by providers including Google, Meta and Microsoft. These providers may process device, browser, interaction, attribution and advertising information according to their respective privacy policies and settings.
10.5 Organization Administrators
When a user accesses UsePDF through a business, team or organizational account, certain information may be accessible to authorized organization administrators. The information available depends on the administrator's role, account permissions, organization settings, and the features used.
10.6 At the User's Direction
We may disclose information when a user requests or authorizes us to do so, including when the user shares a document, sends a document, invites another user, joins an organization, connects an external service, or requests communication with another person.
10.7 Legal and Security Reasons
We may disclose information where we reasonably believe it is necessary to comply with applicable law, respond to a court order or lawful governmental request, enforce our agreements, investigate fraud or abuse, protect the Online Services, protect the rights, safety or property of UsePDF, our users or another person, or establish, exercise or defend legal claims.
10.8 Business Transactions
If all or part of the UsePDF business is involved in a merger, acquisition, financing, restructuring, asset sale or similar transaction, information may be disclosed to professional advisers, prospective purchasers, investors, financing providers, and other transaction participants. Any successor receiving personal information will be required to handle it in accordance with applicable privacy obligations.
10.9 Aggregated and De-Identified Information
We may use or disclose aggregated, anonymized or de-identified information that cannot reasonably be used to identify an individual. We will not intentionally attempt to re-identify properly de-identified information except where necessary to test or verify the effectiveness of the de-identification process or as permitted by law.
11. International Processing and Data Transfers
UsePDF is operated from the Principality of Andorra and uses service providers and infrastructure located in different countries. Our core hosting and database infrastructure is primarily located within the European Economic Area. Certain cloud-storage, analytics, advertising, authentication, support or technical services may process or store information in the United States or other countries outside Andorra and the European Economic Area.
This means that personal information may be transferred to or accessed from countries with data-protection rules that differ from those of the user's country. Where required by applicable law, we use appropriate safeguards for international transfers, which may include adequacy decisions, data-processing agreements, contractual data-protection obligations, standard contractual clauses, participation by a recipient in a recognized data-transfer framework, technical and organizational security measures, and other legally recognized transfer mechanisms.
We also take reasonable steps to ensure that service providers process information only for authorized purposes and provide an appropriate level of protection. Users may contact [email protected] for additional information about the safeguards applicable to a specific category of transfer.
12. Data Retention
General
We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy. The applicable retention period depends on the type of information, the purpose for which it was collected, whether the account remains active, whether the user has requested deletion, security and fraud-prevention needs, contractual obligations, legal/tax/accounting requirements, and the need to establish, exercise or defend legal claims.
12.1 Non-Registered Documents
Documents and generated files uploaded by non-registered users are automatically deleted from active systems 24 hours after upload.
12.2 Registered-User Documents
Documents stored in a registered account are generally retained until the user deletes them, the account is deleted, an authorized administrator deletes them, storage is terminated in accordance with our Terms of Service, or continued storage is no longer necessary or legally permitted.
12.3 Account Information
Account information is generally retained while the account remains active. After account closure or deletion, limited account information may be retained where necessary for security, fraud prevention, dispute resolution, legal compliance, and enforcement of agreements.
12.4 Payment and Transaction Records
Payment, invoice, subscription, refund and transaction records may be retained for the periods required by tax law, accounting law, payment regulations, consumer-protection law, fraud-prevention requirements, and legal claims.
12.5 Support Communications
Customer-support communications may be retained for a reasonable period to respond to the request, maintain support records, investigate recurring issues, improve customer service, and protect legal rights.
12.6 Technical and Security Information
Technical, authentication, diagnostic and security logs may be retained for the period reasonably necessary to maintain security, detect abuse, investigate incidents, troubleshoot errors, maintain service reliability, and comply with legal obligations.

Cookie, analytics and advertising information is retained according to the purpose of the relevant technology, the user's consent choices, the settings configured by UsePDF, the retention practices of the relevant provider, and applicable legal requirements.
12.8 Backups
Information deleted from active systems may remain temporarily in secure backups until those backups are overwritten or deleted through the normal backup-retention cycle. Backup information is not used for ordinary operational or marketing purposes.
13. Security
UsePDF uses reasonable technical, organizational and physical safeguards designed to protect personal information against unauthorized access, accidental or unlawful loss, destruction, alteration, disclosure, misuse, unauthorized copying, and unauthorized processing. Our safeguards may include:

14.1 Rights Available to All UsePDF Users
All UsePDF users may request deletion of personal information associated with their use of the Online Services, regardless of country of residence, nationality, registration status, subscription status, whether they are a current or former user, whether they can still access their account, or whether they used Facebook Login, Google Login, email authentication or another supported access method.
14.2 How to Submit a Privacy Request
Privacy requests may be submitted by emailing [email protected]. Recommended subject lines include "Privacy Request," "Data Access Request," "Data Correction Request," "Data Deletion Request" and "Facebook Data Deletion Request." Using a specific subject line is recommended to help us route the request efficiently, but it is not mandatory. Any clear request to exercise a privacy right will be reviewed. The request should include, where applicable, the user's full name, the email address associated with the account, a description of the request, the authentication method used, and information reasonably necessary to identify the relevant account or data.
14.3 Identity Verification
We may request information reasonably necessary to verify the requester's identity, ownership of the relevant account, and authority to act on behalf of another person. Verification helps protect users against unauthorized access, modification or deletion. Information collected for verification will be used only to process, document and protect the privacy request.
14.4 Response Period
We will respond to valid privacy requests without undue delay and, in any event, within one month after receiving the request, unless an extension is permitted under applicable law. Where an extension is necessary, we will inform the requester and explain the reason. Requests are normally processed without charge. Where permitted by law, we may refuse or charge a reasonable fee for requests that are manifestly unfounded, excessive or repetitive.
15. Account and Data Deletion
15.1 How to Request Deletion
All users may request deletion of their UsePDF account and associated personal information. To request deletion: (1) send an email to [email protected]; (2) we recommend using the subject line "Data Deletion Request"; (3) include the email address associated with the UsePDF account, if applicable; (4) indicate whether you used Facebook, Google, email or another authentication method; (5) describe the account or data you want deleted; and (6) complete any reasonable verification requested by UsePDF. A deletion request may be submitted even when the user no longer has access to the account, has cancelled a subscription, used UsePDF without registering, used Facebook or Google Login, or is located outside Andorra or the European Economic Area.
15.2 Information Covered by Account Deletion
Subject to verification and applicable legal exceptions, account deletion may include deletion or irreversible anonymization of account and profile information, authentication identifiers, information received through Facebook Login or Google Login, stored documents and generated files, folders and favorites, sharing settings, account preferences, organization membership information, marketing preferences, account-related usage information, and other personal information associated with the account.
15.3 Information We May Retain
We may retain limited information after a deletion request where necessary to comply with tax and accounting requirements, comply with payment or financial regulations, prevent fraud or abuse, maintain security, respond to payment disputes or chargebacks, resolve disputes, enforce agreements, establish, exercise or defend legal claims, or comply with a valid legal request. Information retained for these purposes will be restricted from unrelated use and deleted or anonymized when the applicable retention requirement expires.
15.4 Completion of Deletion
After completing a verified deletion request, we will send confirmation to the contact information associated with the request. Deletion from active systems may occur before information is fully removed from secure backups. Remaining backup copies will not be used for ordinary purposes and will be deleted or overwritten through the applicable backup-retention cycle.
16. Facebook Login and Meta Platform Data
Overview
Users who access UsePDF through Facebook Login have the same privacy and deletion rights as all other UsePDF users. Information received through Facebook Login may include a Facebook user identifier, name, email address, profile picture and other basic information authorized by the user. UsePDF uses this information to authenticate the user, create or connect a UsePDF account, maintain account security, and provide the Online Services.
16.1 Requesting Deletion of Facebook Data
A Facebook Login user may request deletion by emailing [email protected], using the recommended subject line "Facebook Data Deletion Request" or "Data Deletion Request," providing the email address associated with the UsePDF account, indicating that Facebook Login was used, and completing any reasonable identity-verification request. After verification, we will delete or irreversibly anonymize personal information received through Facebook and associated with the UsePDF account, subject to the limited legal-retention exceptions described in this Privacy Policy. This may include deletion of the Facebook authentication identifier, name, email address, profile picture, the connection between the Facebook account and the UsePDF account, and other basic information provided through Facebook Login.
16.2 Removing UsePDF from Facebook
Users may remove UsePDF through the apps and websites settings available in their Facebook account. Removing UsePDF from Facebook may prevent future Facebook authentication. However, removing the connection through Facebook may not automatically delete all information already stored by UsePDF. To request complete deletion of information held by UsePDF, users should submit a deletion request using the procedure described above.
16.3 Meta Data Deletion Requests
When UsePDF receives a valid user-data deletion request through a mechanism provided by Meta, we will process the request in accordance with this Privacy Policy and applicable law. The right to request deletion is available to all users and is not limited to Facebook users, registered users, paying users, European users, or users located in any specific country.
17. Sale, Sharing and Targeted Advertising
UsePDF does not sell personal information in exchange for money. Depending on the definitions used under certain privacy laws, the use of Google Ads, Meta advertising technologies or similar services may be considered sharing of personal information, targeted advertising, cross-context behavioral advertising, or a sale under a broad statutory definition.
Where such laws apply, users may exercise available opt-out rights through the cookie-preferences panel, browser or device controls, provider-specific advertising settings, or a request submitted to [email protected].
UsePDF does not sell or share uploaded document contents for targeted advertising.
18. Children's Privacy
The Online Services are not directed to children under 16 years of age. We do not knowingly collect personal information directly from children under 16 without valid parental or legal authorization where required. If a parent, guardian or other person believes that a child has provided personal information to UsePDF, they may contact [email protected]. We will investigate the request and delete the information where appropriate.
